RPT System Tutorial for Committee Members

A Step-by-Step Guide for Members of a Promotion, Tenure, or Ad Hoc Committee
A Committee Member--a term designated by Interfolio's Review, Promotion, and Tenure (RPT) system--may view and download documents in a case.
1. Log in to Northwestern Faculty Folio.
- After navigating to facultyfolio.northwestern.edu, log in to Faculty Folio using your NetID and password.
2. On your home page, navigate to your assigned Cases from the left-hand menu.
Select the name/link of the candidate you'd like to review.
3. Once inside a particular case, select the Case Details page to view the instructions to the committee.
4. Navigate to the Case Materials page and select Read Case to view the candidate's dossier/packet.
5. Select to expand sections within the dossier/packet in order to view documents in that section. Select each document title to view.
6. To view the entire dossier/packet in a single PDF, select Download, and then Download Packet. If you choose to download the packet (or documents therein), please take precautions to protect the confidentiality of the downloaded materials.
7. Choose Select All and then Download PDF.
8. The RPT system will take a few minutes to process the download. Navigate back to your Home page to open the download. Select Your Files Are Ready to Download.
9. Once directed to the Requested Downloads page, select Download on the case you're reviewing.
10. A downloaded document should appear in your window. Double click to open.
11. View the PDF in your browser. Hover at the top of the window to save to your computer or to print.
12. If you wish to use the Annotation tool as you review the case, please follow the instructions in this step. Please note that your annotations are not shared with your fellow Committee Members.
- The Annotations toolbar is located at the bottom right corner of the screen.
- To add an annotation, click on the pencil icon and choose a Point, Area, or Text annotation.
- Select the case where you want to add the annotation. You may begin typing in the box that appears. A left click on your mouse outside the box will save your annotation, and you can hide or display all annotations by selecting the eye icon on the bottom right. You may delete an annotation by selecting it, then selecting the trashcan icon in the bottom right to delete it.
- You can view a list of your annotations by selecting the Annotations tab at the top of the materials list on the left-hand side of the screen. You can export all your annotations by selecting the export icon (square with arrow) that appears to the right of the Annotations tab.
- Caution: In lieu of using the Annotation tool, some of you may wish to cut and paste sentences from a document in a case and save it to your own Word document. The downside of this notetaking method is that the context of a sentence may be lost or an incorrect source attribution may be made. Please also work to ensure the confidentiality of materials in bringing materials outside of Faculty Folio RPT.
